For software companiesRecurring revenue and books that always agree.
Bill plans and licences, recognise revenue as you deliver, and see MRR, churn and retention — from the same ledger your accountant closes. No stock, no orders, no spreadsheet in between.
What is Kayan for software companies?
Kayan is an ERP that treats a software business as it is: customers on recurring plans and one-time licences, revenue earned over time, and a finance team that needs the numbers to tie out. Choose Software when you sign up and Kayan hides the goods pipeline — stock, purchase orders, manufacturing, point of sale — and puts Subscriptions first. Each charge posts to a double-entry ledger as deferred revenue and is recognised straight-line across its service period; MRR, ARR, churn, net revenue retention and customer cohorts are computed from the same records, and a deferred-revenue rollforward ties back to the ledger. Plans can be monthly, quarterly, yearly or one-time, with VAT on every charge.
Subscription billing
Define plans, put customers on them with the seats they use, and let renewals bill themselves. One-time licences live on the same customer timeline.
- Monthly, quarterly, yearly and one-time licences
- A price fixed per customer, so a list-price change never rewrites an existing contract
- VAT on every charge; pause or cancel any time
| Accounts receivable | 12,312 | |
| Sales revenue | 10,800 | |
| VAT payable (14%) | 1,512 |

Revenue you earn, not just revenue you bill
Every charge posts to the ledger as deferred revenue and is recognised straight-line across its service period. A monthly rollforward ties back to the ledger, and a 12-month schedule shows what is still to come.
- Deferred-revenue rollforward: opening, billed, recognised, adjustments, closing
- A tie-out against the ledger that flags any difference instead of hiding it
- Recognition runs on its own, so month-end is a review, not a rebuild
MRR, churn and retention from the books
MRR, ARR and the MRR bridge come from a record of every change to recurring revenue — new, expansion, contraction and churn — so the numbers always reconcile with what you billed.
- MRR, ARR, ARPA and net new MRR, per currency
- Logo churn, net and gross revenue retention
- An alert on the home page when lost revenue spikes
Cohorts that show who stays
See each signup month as a cohort and follow it forward: how many customers remain, and how much revenue they still pay, month by month.
- Logo retention and net revenue retention, one toggle apart
- A paused customer still counts as retained; only cancellation and expiry count as churn
- Months that have not happened yet stay blank instead of reading as zero
Books, VAT and payroll — without the stock room
Choose Software when you sign up and Kayan hides purchase orders, stock, manufacturing and point of sale. What is left is the finance and people work a software company actually does.
- Double-entry ledger with VAT-aware documents and multi-currency
- Vendor and tool spend tracked as recurring expenses
- Payroll, roles and approvals for the team
| Accounts receivable | 12,312 | |
| Sales revenue | 10,800 | |
| VAT payable (14%) | 1,512 |

Common questions
Does Kayan charge my customers' cards for me?
Not yet. Kayan bills and tracks every charge and records payments against it; collecting card or bank payments online from your subscribers is on the roadmap.
Can I bill by usage or per metered event?
Not today. Plans are priced per seat or per licence on a fixed interval. Usage-based billing is not available yet.
Do my customers get a self-serve portal?
No. Customers do not log in to Kayan today; you manage subscriptions on their behalf.
How is revenue recognised?
Straight-line across each charge's service period; one-time licences are recognised when delivered. A deferred-revenue rollforward ties the balance back to the ledger.
What counts as churn?
Cancellation, and a fixed term that ends without renewing. A paused subscription is not churn: it leaves MRR while paused and returns when resumed.
Can I use Kayan if I also sell hardware?
Yes. Choose Both and nothing is hidden: the goods pipeline and subscriptions share one workspace.
